Document Links

Use this page to enable document linking, to manage existing links, and to export a list of links.

The Document Links feature provides a means for sharing published documents so that users can access them without logging in to the LINK360 software. For example, you could include a link to a lockout procedure in your maintenance management system so that a technician can print the lockout procedure without logging in.

To access this page, select Setup & Admin > Document Links. If Document Links does not appear in the Setup & Admin menu, the feature is not enabled. Only a subscription administrator can enable the Document Links feature.

To enable or disable document linking:

Next to Allow user to generate public links for documents, click Yes to enable or No to disable the feature. This control is only available if you are a subscription administrator.

To manage existing links: 

  1. Click in the Document Type list and click the type of documents for which you would like to view links: lockout/tagout, confined space, or maintenance (reliability).
  2. If needed, filter and sort the list.

    • Click on any column heading to sort the list by that column.
    • Type a word or phrase in the blank space at the top of any column to display only items that match. For example, to display only links to equipment that has the word boiler in the equipment name, type "boiler" at the top of the Equipment column. The search is not case sensitive, so in our example, all of the following would be included in the list: boiler, Boiler, and BOILER. You can filter more than one column at a time.
  3. To see the link for a document, click next to the document.
  4. To remove a document link, click Revoke next to the document. Anyone who already has the link will no longer be able to access it.

To export links: 

Click the Export to CSV button above the list. The software creates and downloads a CSV (comma separated variable) file containing the list of links for the specified document type (lockout, confined space, and so on). All links for that document type are included regardless of any filtering you have applied to the columns. You can open the file in a text editor (such as Notepad), spreadsheet software, or database software.
