Lockout/Tagout - Edit Procedure Templates

Note: When editing templates, the changes you make to one language are not automatically translated into the other languages. You must manually change the text for each template you want translated.

To edit a procedure template:

  1. Select Lockout/Tagout > Lockout/Tagout Admin > Edit Templates.
  2. Choose the template you want to modify, then click Edit. (You cannot edit Brady default templates. These are marked with a lock icon.) The template opens for editing.
  3. Select Available to authors in x languages to let authors use this template for creating new procedures. To make an old template unavailable for creating new procedures, clear this box.
  4. Click Select template languages. The Select Template Languages window opens.
  5. Select the check boxes for languages you want to make available to authors and clear those that you do not want available. Click Save.

Note: Authors cannot translate any procedures created with this template for languages that are not selected.

  6. Click in the Language field and select the language for which you want to edit the template.
  7. (Optional) In the Template Name field, type a new name for the template if you have copied an existing template in order to create a new one. Leave the name as it is if you are modifying an existing template.
  8. Click an option to display either the Icon, the ID (identifier), or both the Icon + ID in the procedure steps.
  9. Revise the Template Description if desired. The description helps people decide which template to use. People can see the description on the New Lockout/Tagout Procedure page (from Lockout/Tagout > New Procedure).
  10. Click Modify Template Layout and select the following check boxes to include the information from the form. Clear the box to exclude the information.

    • Page Header Information Auto Filled from Equipment Hierarchy

      • Auto Fill Equipment ID. Automatically fills in the Equipment ID on new procedures based on this template.
      • Auto Fill Equipment Name. Automatically fills in the Description (with the equipment name) on new procedures based on this template.
      • Auto Fill Equipment Location. Automatically fills in the equipment Location on new procedures based on this template.
    • Audit Stickers

Include Audit Stickers section. Adds a row of four boxes near the top of the first page for audit stickers. These are used to indicate when the next audit is due. You can replace the "NEXT AUDIT DUE" text with your own, but the "DATE HERE" text can only be formatted, not replaced. When someone publishes a procedure based on the template, the DATE HERE is replaced with the month and year that the next audit is due. The due dates are based on the audit interval. (An administrator sets the audit interval in Lockout/Tagout > Logout/Tagout Admin > Edit Settings. See Lockout/Tagout - Edit Settings for more information.) For example, if someone creates a procedure with the template in April 2015 and the audit interval is six months, the dates shown in the four audit sticker boxes are Oct 2015, Apr 2016, Oct 2016, and Apr 2017.

    • Headers

      • Include Purpose/Scope/Authorization/Enforcement. Adds predefined safety text to the form. If you change the predefined text, you must also manually change the translated text for the other languages.

Note: Procedure editors can edit the "Authorization" text.

      • Include Lockout Application Process. Adds a section with an overview of the lockout process. You can edit the text provided, including the text in the heading bar.
      • Display header image only on page 1. Header images are placed just above the lockout steps. Use this option to show them only on the first page.
      • Display header section only on page 1. The header section is everything above the header images. (If included, header images are immediately above the lockout steps. The header section is everything above that.) Use this option to show the header only on the first page.
    • Lockout Steps Table

Include Verification column. Adds a column in which to provide instructions for verifying that each energy source is isolated.

    • Footers

      • Include Verification section. Adds a predefined verification method to the procedure form. If you change the predefined text, you must also manually change the translated text for the other languages. Procedure editors can modify the verification method to include specific information about the energy sources used in the lockout steps.
      • Include Removal Process section. Add the Lockout Removal Process section. This section provides instructions for safely removing the locks and reenergizing the machine. You can edit the text provided, including the text in the heading bar.
      • Include Safety Software & Services contacts. Adds the phone number for Brady Safety Software & Services to the page footer. To add the logo as well, select Include Brady Safety Software & Services logo.

Tip: If you want to use the logo without the phone number, select both check boxes and then delete the phone number text in the footer itself.

      • Backpage: Include backpage. Adds a final page to the lockout procedure containing a statement of the purpose, scope, and enforcement; a list of steps for the shutdown, lock, tag, and test sequence; and a list of steps for the restore to service sequence. Only the enforcement statement can be edited in the template. None of the backpage information can be edited when creating a procedure from the template.
    • Backpage

Include OSHA section. Adds a reference at the bottom of the last page to the OSHA document on which the information is based. This is only available if the Include backpage check box is selected.

  11. (Optional) Change the logo in the procedure title if desired. When you move the pointer over the logo, the software displays a Replace button to change the logo. Click Replace. Use the Select Image window to find an image file to use (of type GIF, JPG, TIF, PNG, or BMP) and then click Replace.
  12. Change text on the form as desired. Click the text you want to edit. If the text cannot be edited, nothing happens. If the text can be edited, the Format toolbox opens, a rectangle is shown around the editing area, and a cursor is placed in the text. If you change the default text, you must also manually change the translated text for the other languages.
    • To enter text, either use the arrow keys or click to place the cursor at the point in the text where you wish to begin typing. Type the text you want. In a similar manner, delete the text you do not want.
    • Use the options in the Format toolbox to format existing or new text. Changes apply to all text in the field regardless of the location of the cursor and whether you have selected a portion of the text.
  13. To preview your changes, click the Preview tab.
  14. (Optional) Click Reset to cancel the changes and revert back to the last saved version.

Note: If you click Reset on the Preview tab, the canceled changes are not removed until you go back to the Templates tab.

  15. Save your changes in one of three ways.

    • Click Save to save your changes and remain in the template editor. This limits lost changes should a problem occur with your computer or network connection, but once saved, the Reset button cannot undo the changes. Only changes made AFTER the last save can be reset.
    • Click Back to Templates. When asked if you want to save changes, click Save.
    • Select another language in the Language field at the top of the form. When asked if you want to save changes, click Save.
