Document View Options
You can perform a variety of tasks when viewing a document. If there is a review pending, the review/approve options display above the Preview area. The Related Information panel contains document details such as equipment type, document status and the next audit due date (if applicable).
To view a document: Find the document on the Find/Create Files tab (see View Documents). Point to the document and a menu opens. Click Document View Options. The View Documents screen contains the following components (click the links to see details):
- Review Document (Only visible if you have reviews pending on this document.)
- A preview of the document displayed in a PDF viewer. See Preview Document.

Related Information: Provides links to actions that are available, depending on the document status and your permission level. See File Actions, Routing and Approval Actions or More Actions for details. For confined space assessments, links to add permit and reclassification forms, or to the forms themselves, are provided if applicable.
Edit unavailable: When viewing a permit request or reclassification for a confined space, the Edit command is unavailable if the confined space assessment is published. To place the documents into an editable state, click the link to the associated confined space safety assessment. When viewing the safety assessment, click Edit in the Related Information column. When the safety assessment opens, click Save & Finish. Click the link to the entry permit or reclassification. Now the Edit command is available.
- Comments and History: Displays all activity that has been performed on the selected document.
Lockout Procedure Tab
(When viewing confined space assessments only.) If a lockout procedure is associated with the confined space assessment, it is readily accessible in another tab. Click the Lockout Procedure tab to view the procedure. All the controls in the Related Information panel still apply to the confined space assessment. That is, if you click Edit, the assessment rather than the lockout procedure is opened for editing.
Comments and History
This information is located on the lower right of the page, below the Related Information column.
To review comments:
- Click Comments to expand.
- Select the comments you want from the Show drop-down list.
- Choose a date range from the Frm drop-down list. The comments display.
To review document history:
- Click History to expand. The details display in descending order, from the most current entry.
- Use the scroll bars to scroll through the list.
Audit Due Date
To change the audit due date, click the calendar button near the top of the Related Information column. Document history and audit history (see Audit History) both retain a record that the date was changed.
Changing the due date does not indicate that the audit was actually performed. To record that the audit was performed, see Perform Audit.
